ACCEPTANCE: Deposit or payment on your booking constitutes your acceptance of these terms.
Booking+Cancellation Policies
Payment:
Full payment is required at the time of booking to reserve your seat(s).
Cancellations + Transfer Requests:
Full payment is required at the time of booking to reserve your seat(s).
- More than 48 hours prior to your tour start time: You will receive a 100% refund. Date transfer requests are complimentary but subject to availability.
- Within 48 hours of your tour start time: If you cancel within 48 hours of your tour departure, no refund will be given unless you purchased Trip Cancellation Protection with your reservation. Date transfers are accepted based on availability and subject to a $25 per person transfer fee.
Trip Cancellation Protection:
Travelers who book their tour directly with San Juan Kayak Expeditions either online or over the phone have the option to add Trip Cancellation Protection to their reservation for an additional fee. Adding Trip Cancellation Protection allows you to cancel your day tour with written notice for a full refund (minus the used Trip Cancellation Protection fee) up until 1 hour prior to the start of your tour.
We have a limited number of seats available on our tours every day. When you reserve a spot, it becomes unavailable for anyone else to book and we may have to turn away guests who may have otherwise booked. If you are worried about needing to potentially cancel your tour at the last minute, we strongly encourage you to consider Trip Cancellation Protection or a third-party travel insurance policy. Exceptions to the cancellation policy will not be made if you chose to decline the Trip Cancellation Protection option.
Please note that Trip Cancellation Protection is not a form of travel insurance and is only a protection of your investment in the cost of this tour should you need to cancel within 48 hours of your tour start time.
Payment:
A 50% deposit is required at the time of booking to reserve your date. Full payment is due 30 days prior to your travel date. Travelers are welcome to pay in full at the time of booking if desired.
Private Tour Reservations made within 30 days of the travel date require full payment at the time of booking.
Cancellations + Transfer Requests:

- More than 14 days prior to your tour start time: Cancellation requests more than 14 days ahead of your tour will receive 100% refund. Date transfers are complimentary but subject to availability.
- Between 14 days – 48 hours prior to your tour start time: Cancellation requests within this window will receive a 50% refund. Date transfer requests are accepted based on availability and subject to a 10% transfer fee.
- Less than 48 hours prior to your tour start time: Cancellation requests within this window will not receive any refund. Date transfer requests are accepted based on availability and subject to a 10% transfer fee.
Trip Cancellation Protection:
Travelers who book their tour directly with San Juan Kayak Expeditions have the option to add Trip Cancellation Protection to their private tour reservation for an additional fee. Adding Trip Cancellation Protection allows you to cancel your private day tour with written notice for a full refund (minus the Trip Cancellation Protection Fee) up until 48 hours prior to the start of your tour, or for 50% refund between 48 hours and 1 hour prior to the start of your tour.
When you book a private tour, we reserve a guide and vehicle exclusive for your use on your specific date which means we have to turn away other travelers who may also be be looking to travel this date. If you are worried about needing to potentially cancel your tour at the last minute, we strongly encourage you to consider Trip Cancellation Protection or a third-party travel insurance policy. Exceptions to the cancellation policy will not be made if you chose to decline the Trip Cancellation Protection option.
Please note that Trip Cancellation Protection is not a form of travel insurance and is only a protection of your investment in the cost of this tour should you need to cancel within 14 days of your tour start time.

Multi-day Group Tour reservations made within 75 days of the tour date require full payment at the time of booking.
Cancellations + Transfer Requests:
- More than 75 days prior to your tour start date: Cancellation requests made with more than 75 days notice will receive a 100% refund. Date transfers are complimentary but subject to availability.
- Between 75 days and 31 days prior to your tour start date: Cancellation requests made with 75 to 31 days notice will receive a 50% refund. Date transfers are accepted based on availability and subject to a 25% transfer fee to cover non-refundable lodging expenses.
- 30 days or less before your tour start date: Cancellation requests made 30 days or closer to the travel date will not receive any refund. Date transfer requests cannot be accepted within 30 days prior to the tour.
Travel Insurance
We strongly recommend purchasing travel insurance to cover your investment in this tour and all of your travel related expenses. Life can be unpredictable and most of the reasons we hear for why a traveler may need to cancel within a few days of their trip are entirely out of their control. When you reserve a tour, that spot is no longer available and we have to turn away potential travelers. It is highly unlikley that we can replace your reservation within the time frame. San Juan Kayak Expeditions cannot make any exceptions to our cancellation policy for any reason including injury or illness of the traveler, travel delays or cancelled flights, death in the family, weather related cancellations, job obligations, traveler change of mind or any other reason that could prevent you from joining your scheduled trip.
If you are concerned about the potential risk of cancelling within 75 days of your trip, Trip Cancellation or Interruption Insurance (which differs from medical travel insurance) can help protect some or all of your financial investment. Most travel insurance companies require you to purchase your policy within 14 days of booking your trip so we recommend finding a policy to fit your needs immediately after reserving your seat. Make sure to confirm with the company that your policy covers last minute trip cancellations and how much you can be reimbursed for, so there are no surprises in case the unfortunate happens.

The remaining 90% of the tour cost are fully refundable less any non-refundable fees incurred by San Juan Kayak Expeditions for lodging or activity reservations made on your behalf.
- Between 75 days and 31 days prior to your tour start date: Cancellation requests made with 75 to 31 days notice will receive a 50% refund less any non-refundable lodging or activity reservations made on your behalf.
- 30 days or less before your tour start date: Cancellation requests made 30 days or closer to the travel date will not receive any refund.

Acknowledgements
Any refund requests must be initiated within 30 days after completion of service to be considered.
Please note for all third-party services: Change and cancellation fees do not include the penalties charged by third parties.
San Juan Kayak Expeditions will advocate on its client’s behalf to minimize or negate fees incurred by third parties, however, all cancellation fees or refunds, including refunds for dissatisfaction, are ultimately at the discretion of the hotels, tour operators, caterers, rental car agencies and other Service Providers with which San Juan Kayak Expeditions has reserved for travel and tour related services. If the third party decides to charge a fee, that fee will reduce the amount that San Juan Kayak Expeditions is able to refund to its client.
Please consider TRAVEL INSURANCE to offset penalties caused by unforeseen events.
VALIDITY/CHANGES: Your itinerary contains information believed to be accurate at the time of publication. San Juan Kayak Expeditions reserves the right to modify an itinerary or substitute tour components and inclusions without prior notice when necessary.
QUOTES: Unless guaranteed in writing with a specific expiration date, quotes from our office are subject to change until full payment is made.
CHILDREN: Please note some trips do not allow children below a certain age. If traveling with children, please check for restrictions. All children under the age of 18 MUST be accompanied by a parent or guardian.
PASSPORTS & ID: All travelers are required to carry valid identification. All participants on tours that enter a country beyond the United States of America are required to hold a valid Passport. Additional travel documents, such as Visas, may be required. It is the sole responsibility of each traveler to ensure that he or she meets the Travel and Immigration requirements of their country of citizenship and those of the countries to be visited. San Juan Kayak Expeditions will not be held liable or
responsible in any way for any traveler’s failure to obtain travel documentation necessary for their trip.
ENVIRONMENT & WILDLIFE: Our clients must maintain a respectful distance while watching or photographing wildlife. Move respectfully around wildlife. Do not pick plants or wildflowers or trample over natural habitats–stay on the marked trails. Forgo the collection of natural souvenirs. When appropriate, gently educate others about ethical wildlife observation.
ACKNOWLEDGEMENT OF RISK: Although San Juan Kayak Expeditions has taken reasonable steps to provide appropriate equipment and guides for guests to safely enjoy an activity, these activities are not without risk. If you book travel with us, you acknowledge risks that are inherent in each activity. These inherent risks contribute to the unique character of said activities and can be the cause of loss or damage to my equipment, or accidental injury, illness, or in extreme cases, permanent trauma or
death. San Juan Kayak Expeditions does not want to frighten guests or reduce enthusiasm for these activities, but believes it is important for each guest to be made aware in advance what to expect and to be informed of the inherent risks. The following describes some, but not all, of those risks:
- Bodily discomfort in the form of exposure to cold and wet conditions that in extreme cases may lead to hypothermia.
- Physical exertion that may induce cardiopulmonary distress, including but not limited to: asthma, fatigue, or heart attack.
- Falling due to instability of road or trail and/or misuse or malfunction of bicycles / footwear that may result in bodily injuries such as sprains, strains and broken bones.
- Bodily injury due to unexpected natural disturbances, including but not limited to: tree-fall, landslides, and rock fall.
- Dehydration.
- Any hazards related to driving to and from activity location (seat belts must be worn).
- Animal bites from mammals and/or birds if clients attempt to feed wildlife (not allowed).
Each participant must agree to the following:
I am aware that this activity entails risks of injury or death to any participant. I understand the description of these inherent risks is not complete and that other unknown or unanticipated inherent risks may result in injury or death. I agree to assume and accept full responsibility for the inherent risks identified herein and those inherent risks not specifically identified. My participation in this activity is purely voluntary, and I elect to participate in spite of and with full knowledge of the inherent risks. I acknowledge that engaging in this activity may require a degree of skill and knowledge and that I have responsibilities as a participant. I acknowledge that the staff of Evergreen Escapes has been available to more fully explain to me the nature and physical demands of this activity and the inherent risks, hazards, and dangers associated with this activity. I certify that I am fully capable of participating in this activity. Therefore, I assume and accept full responsibility for myself, including all minor children in my care, custody, and control, for bodily injury, death or loss of personal property and expenses as a result of those inherent risks and dangers identified herein and those inherent risks and dangers not specifically identified, and as a result of my negligence in participating in this activity.
FULL PAYMENT CONFIRMS THAT: I have carefully read, clearly understand, and accept all of the statements made herein, and acknowledge that this agreement shall be effective and binding upon myself and the group of travelers for whom my payments to Evergreen Escapes have purchased services, my heirs, assigns, personal representative and estate and for all members of my family, including minors.
